One approved reference. A copy you retrieve. Five steps to keep the file check and the human decision clear.

  1. Identify the approved reference

Confirm with the responsible person which PDF is approved. Keep that exact file as your reference; a filename alone is not approval.

  2. Retrieve the destination copy manually

Download the PDF from the portal, website or print/mail partner yourself. Note where and when you retrieved it. Board Editions does not connect to or verify that destination.

  3. Compare the selected files

Choose the approved PDF and the retrieved copy in the free checker. Exact copy means identical selected file bytes, even if the names differ.

  4. Inspect and resolve differences

Different file means different bytes. Content, metadata or export settings can cause this. Open both PDFs, review the relevant content and resolve the difference with the responsible person.

  5. Record the human decision

Mark your review and save the JSON check record before leaving. Keep any approval or follow-up decision in your existing team process; the tool does not approve the document.

Three quick checks in Board Editions, using synthetic PDFs.

Choose the approved PDF as your reference.

The renamed copy matches exactly: different names, but the selected file bytes are identical.

Next, choose that same reference again.

Same filename, different bytes. Inspect both PDFs carefully. A difference can come from content, metadata or export settings.

Now download this sample copy yourself. No live portal is shown.

Return to the checker and choose your approved reference.

Select your download. Its selected bytes match exactly.

Add a retrieval note and mark your own review.

Save your record. This doesn't verify approval, legal sufficiency, portal access or delivery.

Visual and action context

00:00–00:16: The operator chooses the synthetic approved meeting-notice.pdf and renamed-notice.pdf. The checker reports Exact copy despite different names.

00:16–00:29: A second meeting-notice.pdf produces Different file. The tool compares bytes; it does not diagnose which content changed.

00:29–00:54: The operator manually downloads the illustrative destination copy from this resource, returns to the checker and selects the reference and downloaded file. After Exact copy, the operator adds a retrieval note, marks their own review and saves the JSON record.

These synthetic PDFs are not customer documents. No live portal or automated retrieval is shown. The check does not verify content correctness, approval, legal sufficiency, portal access, physical print or delivery.
